Remindash (“Remindash”, “we”, “us”, or “our”) provides software that helps organisations and teams track obligations, policies, compliance requirements, renewals, deadlines, and related reminders.
This Privacy Policy explains how we collect, use, disclose, store, and otherwise process personal information when you visit our website, create an account, use the Remindash platform, communicate with us, or otherwise interact with our services.
By using Remindash, you acknowledge the practices described in this Privacy Policy.

For the purposes of applicable data protection laws, Remindash may act either as a data controller or a data processor, depending on the context in which personal data is processed.
When we determine why and how personal information is processed (for example, account administration, billing, website analytics, or communicating with you) we generally act as a data controller.
When an organisation uses Remindash to upload, create, manage, or otherwise process information about its employees, contractors, customers, vendors, or other individuals, Remindash generally processes that information on the organisation’s behalf.
2. Information We Collect
The information we collect depends on how you interact with Remindash.
Account and profile information
When you create or manage an account, we may collect information such as:

- Organisation or company name
- Job title or role
- Telephone number, where provided
- Account preferences
- Workspace and team membership information
Workspace and compliance information
When you use Remindash, you or your organisation may provide information relating to:
- Policies and policy documents
- Compliance requirements
- Obligations
- Licences, certifications, contracts, or renewals
- Reminder schedules
- Responsible persons and assignees
- Notification recipients
- Supporting documents and attachments
- Notes, comments, and activity records

You and your organisation are responsible for ensuring that you have an appropriate legal basis to provide such personal data to Remindash.
Documents and AI processing
Remindash may provide artificial-intelligence-assisted features that help users extract, classify, summarise, organise, or identify information contained in documents.
When you use these features, documents and relevant content may be processed by Remindash and service providers supporting those features.
AI-generated results may be incomplete or inaccurate and should be reviewed by an appropriate person before being relied upon.
Remindash does not use AI-generated information as a substitute for professional legal, regulatory, or compliance advice.
Payment and subscription information
If you purchase a paid subscription, we may process information relating to:
- Your subscription
- Billing contact
- Billing country
- Transaction status
- Payment method type
- Invoices and payment history
Payment card or banking information may be processed directly by our payment providers. We do not necessarily receive or store complete payment credentials.
Usage and technical information
When you access Remindash, we may automatically collect information including:

- Browser and device information
- Operating system
- Approximate geographic location derived from IP address
- Pages and features accessed
- Login activity
- Referring pages
- Dates and times of access
- Application events

We may use IP-derived country information to localise aspects of the service, including pricing, currency, payment options, or regional experiences.

4. Legal Bases for Processing

Other lawful bases may apply where permitted by applicable law.
5. Customer Data and Your Organisation
Your organisation controls the information it places in its Remindash workspace.
Remindash generally processes that information on its behalf.
If you use Remindash through an employer, company, or other organisation, that organisation may control the information stored in its workspace.
Your organisation may be able to:
- Add or remove users
- Assign roles and permissions
- View workspace activity
- Create and assign obligations
- Configure notifications
- Access records created within the workspace
- Export information
- Establish retention or administrative policies
- Delete or modify workspace information
Where Remindash processes personal data on behalf of an organisation, requests concerning that data may need to be directed to the relevant organisation.
6. AI-Assisted Features
AI-generated results should be reviewed by a person before they are relied upon for compliance decisions.
Remindash may use artificial intelligence and machine-learning services to assist with tasks such as:
- Extracting information from documents
- Identifying potential obligations
- Summarising policies
- Categorising information
- Suggesting reminder configurations
- Organising compliance-related information
AI-generated results are provided as assistance and may contain errors, omissions, or incorrect interpretations.
Users remain responsible for reviewing outputs and determining whether they are appropriate for their organisation and circumstances.
Where third-party AI infrastructure is used, we seek to use providers subject to appropriate contractual and data protection safeguards.
8. International Data Transfers
Remindash and its service providers may process information in countries other than the country where you are located.
Where personal information is transferred internationally, we take reasonable steps to ensure that appropriate safeguards required by applicable data protection laws are used.
Depending on the circumstances, these safeguards may include contractual protections, recognised transfer mechanisms, adequacy determinations, or other legally permitted mechanisms.
9. Data Retention
We retain personal information for only as long as reasonably necessary for the purposes for which it was collected, including providing our services, maintaining security and audit records, complying with legal obligations, resolving disputes, and enforcing agreements.
Retention periods may vary depending on:

- Your subscription plan
- Workspace configuration
- Contractual requirements

- Security and fraud-prevention requirements
When information is no longer required, we may delete or anonymise it in accordance with our retention practices.
Some information may remain temporarily in backups before being removed through normal backup lifecycle processes.

We use administrative, organisational, and technical measures designed to protect information against unauthorised access, alteration, disclosure, loss, or destruction.
These measures may include access controls, encryption, authentication controls, monitoring, backups, and restricted administrative access.
No system can guarantee absolute security, and users are responsible for maintaining the confidentiality of their account credentials and appropriately configuring access to their workspace.
11. Your Privacy Rights
Depending on your location and applicable law, you may have rights concerning your personal information, including rights to:
- Be informed about processing
- Request access to personal data
- Request correction of inaccurate information
- Request deletion in applicable circumstances
- Object to certain processing

Where your information is controlled by a Remindash customer, you should generally contact that organisation first.
We may need to verify your identity before fulfilling certain requests.
13. Communications
We may send transactional communications necessary to provide the service, including:
- Account notifications

- Reminder notifications
- Obligation alerts
- Workspace invitations
- Billing notifications
- Service announcements
Where permitted, we may separately send marketing communications. You can unsubscribe from marketing communications using the unsubscribe mechanism provided in those messages.
Unsubscribing from marketing communications will not prevent us from sending essential service communications.
14. Third-Party Integrations
Remindash may allow you to connect third-party applications and services.
When you enable an integration, information may be exchanged between Remindash and the third-party service according to the permissions you grant.
Third-party services operate under their own terms and privacy policies. You should review those policies before enabling an integration.
Google Calendar
An owner or administrator of a workspace can connect a Google account so that Remindash deadlines appear as events in a Google calendar they choose. Remindash asks Google for the following permissions, and only when you connect:
- See the list of your calendars, so you can choose the calendar deadlines are written to.
- View and edit events on your calendars, so Remindash can create, update and delete the events it manages.
- Your Google account identifier and email address, to show which account is connected and to recognise it if you reconnect.
What we access, store and write
- From your calendars, the name, identifier, time zone and your access level for each calendar you can choose from. We use only the one you select as the destination.
- In the destination calendar, only the events Remindash created. We do not read, import or store your other calendar events.
- In each event Remindash writes, the deadline’s title, due date, status, owner’s name and source name where they exist, and a link back to the deadline in Remindash, together with private identifiers that let Remindash recognise its own events. Anyone who can see that calendar in Google can see these events, so choose a calendar whose sharing suits the deadlines you send.
- On our side, the connection’s access credentials (stored encrypted), the connected Google account’s identifier and email address, the selected calendar’s identifier, name and time zone, and for each synchronised deadline the identifier of its Google event and its synchronisation status.
Synchronisation runs in one direction, from Remindash to Google Calendar. Changes you make in Google Calendar do not change your deadlines in Remindash.
How we use Google user data
We use information obtained from Google only to provide and improve the Google Calendar feature you asked for, and to keep it secure. We do not use it for advertising, we do not sell it, and we do not use it to train artificial intelligence models. We do not share it with anyone else except the infrastructure providers that host Remindash and as described in the “How We Share Information” section, for example where the law requires it.
Remindash’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Pausing, disconnecting and revoking access
You can pause synchronisation or disconnect Google Calendar at any time from the Integrations page. When you disconnect, Remindash asks Google to revoke its access and deletes the stored access credentials. You choose whether Remindash also removes the events it created; if you do not, they stay in your calendar. You can also remove Remindash’s access yourself in your Google Account permissions.
After you disconnect, we keep a record of the connection and of which Google events belonged to which deadlines, without the credentials. We keep it so that, if you later reconnect the same Google account and calendar, Remindash can recognise the events it created instead of adding duplicates. 15. Children’s Privacy
Remindash is designed primarily for organisations and professional users and is not intended for children.
We do not knowingly solicit personal information directly from children for the purpose of creating Remindash accounts.

16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to our services, technology, legal requirements, or business practices.
When we make material changes, we may provide additional notice through the Remindash platform, email, or another appropriate method.
The “Last updated” date at the top of this page indicates when the policy was most recently revised.
